Has my account closed, or are only payouts paused?
Write down three answers: can customers still pay, can the business receive payouts, and can staff still issue refunds or respond to disputes? Those functions do not necessarily stop together. Record the exact wording and timestamp shown in the dashboard. Avoid translating every warning into “all my money is gone”; that conclusion may cause unnecessary cancellations while missing the restriction that actually needs attention.
Shopify explains that a Shopify Payments hold can leave the store usable while preventing payouts, and checkout availability depends on the notice. Store termination is a different event. For example, if checkout still accepts 20 orders while finance cannot receive the proceeds, the immediate decision is whether the business can responsibly fund those orders. Escalate that decision before another advertising campaign creates commitments the business cannot support.
What should I save in the first few hours?
Create one controlled incident folder containing the provider notice, relevant agreement, processing statements, payout reconciliation, reserve information and outstanding dispute deadlines. Export the order ledger and retain references connecting each order to its payment and fulfilment record. Protect customer information with appropriate access restrictions. Do not download full payment credentials or share unredacted customer files with prospective brokers merely because they offer urgent help.
Build a simple balance bridge: opening balance, captured payments, fees, refunds, disputes, reserves and payouts. As a hypothetical example, a dashboard showing $12,000 may include $3,000 reserved and $1,500 associated with unresolved customer claims. Those are different questions from the bank transfer schedule. Ask finance to mark confirmed amounts and unexplained differences separately, preserving the original report rather than editing it to fit the expected payout.
Can I appeal Stripe’s decision?
Stripe’s closure guidance directs businesses that believe they were misunderstood or miscategorised to the review form linked in the closure email. Prepare an explanation that answers the identified concern rather than a general argument that the business deserves processing. Separate an incorrect description of the activity from an activity the provider does not support. Evidence can clarify the former; it cannot create an exception to every eligibility restriction.
Use a short case summary followed by indexed supporting documents. For example, if the concern is an apparent 30-day delivery window, provide the actual delivery terms, recent fulfilment records and an explanation of any misleading website wording. Correct inaccurate public information openly. Do not rewrite invoices, hide products or describe an adult, gambling or regulated business as a generic software company to obtain another review.
What if this happened through Shopify or PayPal?
Follow the account owner’s notice for the relevant service. Shopify’s guidance identifies admin notifications and the owner email as the primary sources for account-specific hold instructions. PayPal directs merchants to its Resolution Center or account notifications for limitation steps. A support ticket with one company is not automatically an appeal with another, even when several services appear in the same checkout.
Keep a separate case identifier and responsible person for each provider. In a hypothetical two-provider incident, one team member might handle a Shopify Payments document request while another reconciles PayPal transactions. Ask whether the restriction concerns the payment service, the storefront, a particular product or a legal requirement. This distinction determines what can be corrected and what must be reviewed by qualified advisers before the business changes its operations.
Will I get my money back?
An account closure does not, by itself, tell you the amount or timing of a future payout. Obtain a written explanation of the applicable hold or reserve, the liabilities it covers, any information still required and the next review point. Stripe’s reserve guidance says terms are communicated when a reserve is imposed and that a further risk review can change its treatment. A review date should not be entered into payroll planning as a guaranteed bank receipt.
Run at least two cash scenarios: one with no access to the restricted balance during the planning period and another using only confirmed releases. For example, if $8,000 is unavailable and next week’s essential commitments total $5,000, identify the shortfall from unrestricted cash first. Do not promise customers a refund date that depends entirely on a payout the provider has not confirmed. Seek qualified advice promptly where solvency or contractual obligations are affected.
Should I refund everyone or stop fulfilling orders?
Assess orders individually. Separate completed deliveries, orders that can still be fulfilled on time, delayed orders and orders the business cannot fulfil. A blanket refund instruction can create duplicate losses when a customer has already disputed the same payment. Equally, continuing to take orders without a credible delivery plan can increase complaints and future exposure. Assign one person to coordinate refunds, disputes and customer updates.
For a hypothetical order with a $120 payment and a pending dispute, check the provider’s permitted response before sending a second payment through another channel. Record who approved the remedy and how it will be reconciled. Keep customer communications practical: explain the order status, available resolution and contact route. Customers need an accurate answer about their purchase, not a lengthy accusation against the processor or a request to conceal the original transaction.
Can I just open another account tomorrow?
Do not use another person’s identity, a false business description or undisclosed routing to sidestep restrictions. A replacement application should disclose the actual business, relevant processing history and prior termination where requested. A new provider must assess its own legal, contractual and risk requirements. Fast onboarding language does not establish that your products, customer countries or transaction pattern have been approved.
Before signing, prepare three items: recent processing statements, a clear explanation of the closure and a documented plan for the issue that triggered concern. Compare settlement timing, reserve terms, dispute handling and permitted traffic as carefully as the headline rate. Confirm whether approval is preliminary or final and what still needs implementation. A merchant account can be commercially unsuitable even when the provider is willing to consider the application.
What should be finished by the end of day three?
By hour 72, aim to have a verified incident record, a customer-obligation plan, a realistic cash forecast and a submitted review or clarification request. These are work products within your control. Account reinstatement and balance release are outcomes controlled by the provider and the applicable process. Give the team a scheduled internal update so it does not repeatedly submit inconsistent versions of the same explanation.
For example, keep one case log with the latest request, evidence submitted, acknowledgement and next follow-up date. If the restriction involves a creditor notice, regulatory issue or threatened business failure, escalate to an appropriately qualified adviser rather than treating it as a routine support delay. A replacement processing assessment can proceed in parallel, but it should not erase the work needed to resolve the old account and its remaining obligations.
What can I do today? A six-step checklist
- 1. Verify the notice inside the provider dashboard and record which functions are restricted. Use the official support route rather than links sent by an unsolicited recovery service.
- 2. Export statements and build the balance bridge. Keep the original files and a separate working reconciliation.
- 3. List undelivered orders, refund requests and dispute deadlines. Assign one owner to each unresolved customer case.
- 4. Submit a factual review package through the route provided. Answer the specific concern and retain the submission reference.
- 5. Forecast cash without assuming restricted funds arrive. Decide which spending and new commitments the business can support.
- 6. Assess replacement providers transparently. Obtain written scope, conditions and implementation steps before redirecting live volume.
What else do merchants ask?
Will Stripe reopen my account within 72 hours? There is no promise here of a three-day review or reopening. The 72-hour plan organizes your response; follow the deadline and next steps actually given in your case.
Does “high risk” mean my business is illegal? Not necessarily. A provider may decline a lawful activity because of its own risk appetite or contractual restrictions. Legal permission and provider eligibility still require separate checks.
Can I keep my Shopify store if Shopify Payments is restricted? A payments hold and a store termination are different events. Check both the storefront status and the payment notice before assuming that either service remains available.
Will another processor release my old balance? A new processing agreement does not control the previous provider’s balance. Treat recovery, customer liabilities and new acceptance as separate workstreams.
Should I pay someone who guarantees reinstatement? Do not rely on a guarantee that the provider has not made. Verify the adviser’s identity, scope and fees, and never provide passwords or misrepresent the business to obtain access.
What it means to Merchants
The first 72 hours should produce clarity, not a rushed promise of replacement approval. Preserve the evidence, identify what is actually restricted, protect customers and plan cash from confirmed resources. An honest review package and a transparent replacement application put the business in a better position than hiding the closure or treating a projected payout as available money. FixPays can be approached for a business assessment, but neither assessment nor this guide guarantees acceptance, reinstatement or release of funds.
