How do I find out what actually happened?
Request the listing reason, reporting institution and information identifying the affected business. Mastercard requires the acquirer to supply the reporting ICA and reason code; listing questions require a response within seven calendar days, and removal requests within 30. A response deadline is not a deadline for a favorable outcome.
Create a case summary with one row for each communication: date, sender, reference, issue and next action. Keep the original notice rather than relying on a screenshot cropped to the word terminated. If a broker has relayed the decision, ask which institution can address the underlying record and who is authorized to communicate with it.
For example, a business trading under two brands should establish which legal entity and merchant relationship the correspondence concerns. Attach the relevant agreement and business records through a secure channel. Avoid sending identity documents to an unverified person merely because they claim access to a special removal service.
Does every account closure put me on MATCH?
No. Mastercard’s chapter 11 links reporting to specified conditions and termination circumstances; a voluntary termination can still create a reporting duty when a relevant condition exists. Defined categories include excessive chargebacks, transaction laundering and illegal transactions. Request the actual code rather than infer it from the closure wording.
Treat the notice as an evidence question. If the provider alleges activity outside the agreed business model, compare the approved website, products, customer markets and fulfilment description against what the business actually did. A signed application showing one activity and a live checkout selling another is a problem to investigate, not something a new sales description should conceal.
As a practical exercise, build a two-column comparison for the last 90 days: approved activity and observed activity. Label uncertainties rather than filling gaps with favorable assumptions. The resulting record can help identify an error, a misunderstanding or an operational change that should have been disclosed sooner.
Can I get off the list before five years?
Early removal has limited published grounds: an erroneous addition or qualifying remediation of reason code 12, PCI DSS noncompliance. Mastercard permits a merchant to request removal without hiring a lawyer; the code 12 process has specific validation requirements. Improved trading results alone should not be treated as a guaranteed removal route.
Choose the argument that the evidence supports. If the business was misidentified, assemble documents establishing the mismatch. If an alleged operational breach occurred, do not call the record an error merely because the consequences are painful. Ask a qualified adviser to assess a disputed interpretation where the documents or applicable law warrant it.
A hypothetical owner receives an offer promising deletion in ten days for an upfront fee. Before paying, request the precise basis for removal, the documents needed, who will submit them and the written terms if the request fails. An intermediary cannot make the card network or acquirer accept an unsupported claim by guaranteeing a result in an advertisement.
What should a useful removal request contain?
Use a short cover letter supported by a clearly indexed evidence pack. Identify the business and relevant relationship, state the correction or review sought, and explain which documents support it. Avoid a long account of how much the listing has harmed sales if it does not help establish the grounds for the requested action.
For an illustrative identity mismatch, the pack might compare incorporation records, ownership details, historical addresses and the information in the correspondence. Explain discrepancies directly: an old address may be a genuine former location rather than proof that the listing refers to somebody else. Do not alter historical records to make the narrative simpler.
Keep a numbered attachment list, such as items 1 through 6, and retain proof of submission. Ask for a case reference and follow the stated review channel. Where a response is incomplete, identify the unanswered question precisely. Repeatedly sending the same large bundle to unrelated inboxes makes it harder to establish which team is actually handling the case.
Can I still apply for another merchant account?
You can ask whether a prospective provider will review the case, but a positive sales conversation is not underwriting approval. Present the adverse history clearly and ask what evidence would be needed for an assessment. The relevant business model, licences, transaction profile, ownership and remediation still need to be understood.
Prepare a one-page operating summary alongside supporting records. Include what changed, when it changed, how it was tested and who monitors it. For example, replacing a confusing billing descriptor is an action; showing that customers recognize the revised descriptor is evidence of its effect. Avoid claiming that a short period without complaints proves the entire problem has disappeared.
Compare any proposed account using written settlement, reserve, pricing, dispute and termination terms. A business may be unable to sustain an offer even if a provider is willing to consider it. Build a cash forecast before committing implementation resources, and identify which approvals remain conditional. No FixPays article or initial assessment establishes that a particular acquiring bank will accept a listed merchant.
Will changing my company name solve it?
Do not use a new name, nominee owner or undisclosed account to hide adverse processing history. A legitimate restructuring should be explained to prospective providers with accurate ownership, control and business information. The objective is a truthful underwriting assessment, not a more convenient application narrative.
Suppose a business has three genuine reasons to restructure: a new investor, a change in product line and a move to another jurisdiction. Document each change independently and disclose the previous relationship when asked. Obtain advice on the legal and contractual consequences rather than assuming incorporation paperwork erases earlier obligations.
Also distinguish payment access from customer obligations. Orders already accepted, refunds owed, unresolved disputes and retained funds still require attention. A new gateway integration cannot settle those questions. Maintain staff capacity for the old account’s cases so the attempt to recover sales does not create another wave of avoidable complaints.
What should I do today?
- 1. Obtain and preserve the actual notice. Ask for the listing details and the institution responsible for reviewing your questions; do not rely solely on a broker’s summary.
- 2. Assign one case owner and create a dated communication log. Put the agreement, application, processing reports and relevant business records in a controlled folder.
- 3. Decide whether you are asking about accuracy, a documented removal ground or future underwriting. Keep those requests distinct so each recipient can answer the actual question.
- 4. Review customer obligations and cash needs over the next 30 days. Prioritize outstanding fulfilment, appropriate refunds and clear support messages instead of spending the entire week applying to more providers.
- 5. Submit a focused evidence pack through a verified channel. Record the response dates and follow up on unanswered points. Avoid paying for a promised result without a specific scope and written commercial terms.
What else do merchants ask about MATCH?
Is MATCH the same as a credit score? No. Do not use an ordinary credit report as proof that the relevant acquiring record is clear; ask the provider what it is actually reviewing.
Does a listing tell me when held money will be released? No. Treat retained funds as a separate contractual and account-specific question. Request the balance calculation, outstanding liabilities and review process.
Must I pay a specialist before contacting my acquirer? A specialist may help with a complex dispute, but assess their actual work and qualifications. Start by obtaining your documents and understanding the issue.
Will waiting until the retention period ends guarantee approval? No. A later application still depends on the business, supporting evidence and the prospective provider’s risk decision.
Should I send ten applications at once? A better first step is a consistent, accurate case summary. Conflicting descriptions across applications can create additional questions and waste time that should be spent resolving the underlying issue.
What it means to Merchants
A MATCH problem needs an evidence-led response, not a promise that someone can erase history or guarantee a replacement account. Establish what record exists, pursue any supportable correction through the proper channel and prepare an honest underwriting file while protecting customer obligations. One complete, consistent case is more useful than repeated applications built around an account of events that the documents cannot support.
